Coaching Package clients: Reviews, feedback and use of your records follow your package and the arrangements agreed with you.

Information is not continuously monitored. Do not use app entries, messages or community posts to request urgent medical or mental-health assistance.
4. Who Can Access Information
Tanya and Authorized Team Members
Tanya and any authorized team members may access information reasonably needed for their roles in coaching, client support or service administration.
Access is limited according to their responsibilities. Anyone assisting with private client records must respect confidentiality and applicable privacy requirements.
HubFit and Other Service Providers
App records are stored and processed through HubFit, operated by HubFit L.L.C-FZ. Its Privacy Policy explains its handling of client information and access by the assigned coach or coaching team.
Other providers may process relevant information when delivering website forms, email, video-conferencing, hosting, storage, technical support or security services.
For example, information you share during a virtual session is transmitted through the video-conferencing service used for that session. Information sent by email is processed through the relevant email services.
Connected app and device providers handle information under the permissions you approve and their own privacy practices.
We take reasonable steps to protect information under our control and assess providers handling it on our behalf. Using a provider does not remove our responsibility for that information.
Information may be processed outside Canada and may be subject to the laws and lawful access requirements of another jurisdiction.
Other Members or Participants
Private check-ins, messages, assessment records and progress photos are separate from community posts. Submitting information privately does not authorize its publication in the community.
Information you share in a community area or group session can be seen or heard by other participants with access.
Challenge and leaderboard participation may display profile information, rankings and relevant activity or scores. Check the participation details and contact us if you are unsure what will be visible.
Avoid sharing health details you do not want others to know. We cannot guarantee that another participant will keep shared information confidential or that copies can always be recovered.
Other Disclosures
Information may be disclosed to professional advisers, insurers, authorities or others where required or permitted by law, including to address a legal claim or serious safety matter.
Any disclosure must have an appropriate legal basis and be limited to what is reasonably necessary.
5. Photos, Recordings, Testimonials and Advertising
We do not sell or rent your health and fitness information or provide private health entries or progress photos to advertisers.
We do not intentionally send private health-form responses, check-ins, food logs, body measurements, menstrual information or progress photos to website analytics tools.
If we propose taking assessment photos or videos, or recording a session, we will explain the purpose, intended access and use, and obtain the consent required before proceeding. Joining a session does not by itself authorize recording.
Permission to use a photo or recording for private coaching does not authorize public marketing use.
We obtain separate, clear permission before using your identifiable story, photos, recordings or progress information in advertising, testimonials or transformation features.
You can decline public marketing use without losing access to your purchased service.
6. Optional Features and Consent
Our services are intended for participants aged 16 and older. For participants aged 16–17, we explain information collection and privacy choices in age-appropriate language and obtain appropriate consent from the participant and their parent or legal guardian. Parent or guardian involvement does not remove the young person’s privacy rights. Public marketing use requires separate permission from both.
Most app journals, check-ins, photos, measurements and tracking features are optional. You do not need to complete every check-in or record every metric.
Some information may be necessary for a particular service or feature. For example:
- Relevant health-screening information may be needed to plan exercise sessions responsibly.
- Personalized programming depends on information about your needs, abilities and circumstances.
- A calculation or progress chart needs the inputs on which it relies.
If you choose not to provide necessary information, we will explain how that affects the service or feature and discuss available alternatives.
We obtain express consent for sensitive information where required, except where collection, use or disclosure is otherwise permitted or required by law.
Reading this notice, purchasing a service or continuing to use the website does not replace a separate consent step where one is required.
Permission to process private coaching records does not automatically authorize community disclosure or public marketing. We will explain a proposed new purpose and obtain additional consent where required.
7. Withdrawing Consent
You can withdraw consent for an optional use by changing the relevant permission where available or emailing [email protected].
Tell us which information, connection or use your request concerns. We will explain the consequences and stop processing that relies on the withdrawn consent, subject to applicable legal requirements.
If the information is necessary to provide a particular service, withdrawal may limit or end that service. Unrelated resources or services may remain available.
Disconnecting an app or device does not necessarily delete previously imported information. You can request deletion separately.
Withdrawal applies to future processing. It does not make earlier lawful processing unlawful. Limited records may still need to be retained for another lawful purpose, which we will explain where applicable.
8. Retention, Cancellation and Deletion
We retain health and fitness information only as long as reasonably needed for its stated purposes, including relevant service, legal, insurance or record-keeping requirements.
This applies to records within the app and information held in forms, communications, coaching notes or other records under our control.
App information is also subject to HubFit’s retention and deletion processes.
Cancelling a service or subscription, withdrawing consent and requesting deletion are separate actions. You can request any or all of them together.
Ending a coaching arrangement or cancelling subscription renewal does not automatically request deletion of all records. Access after cancellation depends on the applicable service terms and platform arrangements. Saved history is not guaranteed to remain available indefinitely.
You can request deletion of particular information or your account. Removing information necessary for an account, program or feature may end access to it. We will explain relevant consequences and coordinate with providers where needed.
Some records may need to be retained for legal claims or other lawful obligations. Backup deletion may follow provider processes, subject to applicable legal requirements. We will explain relevant limits when responding to your request.
9. Safeguards and Privacy Requests
We use reasonable safeguards appropriate to the sensitivity and format of the information, including restricted access and measures to protect electronic and any paper records.
No app, website, communication channel or storage system can guarantee complete security. Keep your login details private and contact us if you suspect unauthorized access.
You can contact Tanya to:
- Ask whether we hold health and fitness information about you.
- Request access to or a copy of that information.
- Ask about its sources, uses and recipients.
- Request correction of inaccurate information.
- Withdraw consent or request deletion.
- Ask about international processing or safeguards.
- Make a privacy complaint or exercise additional rights available where you live.
Email [email protected].
We may verify your identity before completing a request. We will respond within applicable legal deadlines, explain any lawful limitation and coordinate with providers where needed.
If you disagree with our response, you can request a further review. You may also contact the Office of the Privacy Commissioner of Canada or the regulator responsible for your location.
Privacy requests can still be made after your service or membership ends. Exercising a privacy right will not result in an unlawful penalty, although a service or feature may be unavailable without information necessary to provide it.
10. Changes and Contact
We may update this notice as our services, features or practices change. The date at the top will be revised. We will provide notice of material changes and obtain any consent required before introducing a new use or disclosure.
